This Privacy Policy describes how CanadaHeatPumpGrants("we," "us," "our") collects, uses, discloses, and safeguards personal information from Canadian homeowners using our heat pump information and installer-matching service. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and applicable provincial privacy laws including the British Columbia Personal Information Protection Act (BC PIPA) and the Alberta Personal Information Protection Act (AB PIPA).

Service not available in Quebec. CanadaHeatPumpGrants does not currently serve residents of Quebec. Quebec residents should contact a local heat pump installer directly or consult Transition énergétique Québec for grant program information.

Important: We are not affiliated with Natural Resources Canada (NRCan) or any provincial utility. CanadaHeatPumpGrants is an independent referral and information service. Grant program details cited on our website are based on publicly available information and may change. Always verify program details with the relevant government authority before applying.

Information we collect

When you submit a request through our website or call a number displayed on our site, we may collect the following personal information:

Name and contact information (phone number, email address)
Postal code, city, and province
Property type (single-family, condominium, etc.) and existing heating system (gas, oil, electric, wood)
Express consent record (timestamp, IP address, user agent)
Limited technical data automatically collected for fraud prevention and analytics: IP address, browser type, pages viewed, referral source

Sensitive information — household income band

Some federal and provincial heat pump grant programs are income-tested (e.g. Oil-to-Heat-Pump Affordability Program, CleanBC income-qualified streams, NB Enhanced Energy Savings). Where you wish us to estimate your eligibility for such programs, we may ask you to indicate a household income band. Income information is treated as sensitive personal information under PIPEDA Schedule 1 §4.3.6, and we will collect it only with your separate express opt-in consent shown immediately at the point of collection. Declining to provide income information will not prevent you from using the rest of our service — we will simply omit the income-qualified program estimates from your results.

We do notcollect: Social Insurance Numbers, financial account information, health data, government-issued IDs, or any other data category designated "sensitive" under PIPEDA without explicit additional consent.

How we use your information

We use your personal information for the following identified purposes:

To estimate which heat pump grant programs you may be eligible for, based on the information you provide
To match your inquiry with NRCan-registered installers, manufacturer-certified dealers, or utility programs in your area
To facilitate communication between you and the matched installer or utility program
To send service-related messages (such as confirmation that your request was received)
To respond to your inquiries and complaints
To improve our website, content, and grant calculator accuracy
To prevent fraud and abuse of our service
To comply with legal obligations (record retention, regulatory inquiries, court orders)

We do not use your personal information for any purpose beyond those identified above without obtaining your express consent.

By submitting a request through our website or calling a phone number we display, you provide express consent to be contacted by CanadaHeatPumpGrants and the heat pump installer or utility partner we match you with, by phone, email, or SMS, for the purposes identified in this policy.

You may withdraw consent at any time by emailing privacy@canadaheatpumpgrants.com or by visiting our opt-out section. Withdrawal of consent may affect our ability to provide the referral service to you.

British Columbia and Alberta residents

Residents of British Columbia and Alberta have additional rights under their respective provincial privacy laws (BC PIPA, AB PIPA). These include the right to access, correct, and request deletion of your personal information. To exercise these rights, contact privacy@canadaheatpumpgrants.com.

We share your personal information only with:

NRCan-registered installers and manufacturer-certified dealers in your geographic area, for the purpose of contacting you about your installation inquiry. We share only the information you submitted.
Utility-direct partners(e.g. Reliance Home Comfort, Enbridge, BC Hydro CleanBC, FortisBC) where you request matching with their programs. Lead routing is governed by the partner's own privacy practices once received.
Service providers who assist us with website operations, analytics, fraud prevention, and email/SMS delivery. These providers are bound by confidentiality and use the information only to provide services to us.
Government or regulatory authorities when required by law, court order, or to respond to lawful requests from public authorities.

We do not sell your personal information to third parties. We do not share your information with advertisers or marketing platforms beyond the installer-matching purpose.

Security

We implement reasonable technical and organizational safeguards to protect personal information against unauthorized access, loss, or disclosure. These include encryption in transit and at rest, access controls, and audit logging. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

In the event of a privacy breach involving real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada (OPC) as required by PIPEDA.

Retention

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, including a 7-year retention period for consent records and audit logs to satisfy legal and regulatory requirements. After that period, we securely delete or anonymize the information.

We will process unsubscribe requests within 10 business days as required by CASL.

Cookies and analytics

We use only essential cookies required for the website to function. We do not currently use third-party tracking cookies, advertising pixels, or cross-site tracking. If we add analytics tools in the future, we will update this policy and provide a clear cookie consent banner before any non-essential cookies are set.

Children

CanadaHeatPumpGrants is not directed to children under the age of 18, and we do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us immediately and we will delete it.
